Organization of Information

Introduction

The information in the application is organized hierarchically. The vocabulary used to designate these different hierarchical levels (platform, partnerships or entities, campaigns, proposals, evaluations, etc.) was chosen based on the initial needs of the University of Geneva to manage its partnerships.

Understanding this hierarchy of information will help you navigate the application.

The Platform

The platform refers to the application as a whole. It allows for the management of partnerships, project call campaigns, proposals, evaluations, website pages, and user accounts.

The platform provides users with a private space accessible by login and password and a public space (web pages) visible to anyone with an internet connection.

The private space allows users to manage their own information independently and confidentially. The public space allows the institution to communicate information on the web.

Partnerships or Entities

Partnerships or entities constitute the first hierarchical level of the platform. A partnership or entity is identified by a title and a short description. The platform can manage multiple partnerships/entities.

Depending on the context, we talk about Partnerships (e.g., Cofunds) or Entities (e.g., an institution with several services). But in both cases, it is the same thing at the application level.

A partnership or entity has two states in the application:

  • Offline: the partnership/entity is accessible only in the private space.

  • Online: the partnership/entity is accessible in the private space and publicly available on the website.

To launch a project call campaign, the partnership/entity to which it is attached must be in the Online state.

Institutions

Institutions refer to the entities involved in the co-evaluation process. Evaluators must belong to one of the listed institutions to allow the weighted average calculation of the scores assigned to the proposals. The weighted average calculation is explained in more detail in this documentation. See the section "Calculation of Evaluation Scores."

Campaigns

Campaigns correspond to project calls and constitute the second hierarchical level of the platform. A campaign is attached to a partnership, and a partnership can have multiple campaigns.

Partnership > Campaign

A campaign has three states in the application:

  • Offline: The campaign is accessible only in the private space by managers and partners.

  • Ongoing: The campaign is accessible in the private space by managers, partners, evaluators, and candidates. The campaign can be publicly displayed on the website with its start and end dates.

  • Completed: The campaign is accessible in the private space by managers and partners but is no longer accessible by evaluators and candidates. It can be displayed on the website as completed.

Proposals

Proposals are the projects submitted by candidates via the application. This is the third hierarchical level of the platform. Indeed, proposals are attached to a campaign, which is itself attached to a partnership.

Partnership > Campaign > Proposal

A proposal has two states in the application:

  • Offline: This is the default state of proposals when created by candidates. They are only accessible in the private space by managers and partners as well as by candidates during the campaign's open period.

  • Online: The proposal is accessible in the private space only by managers and partners and appears publicly as a selected project on the dedicated web page.

Evaluations

Evaluations correspond to project proposals assigned to evaluators. Each evaluator must be previously registered on the platform with the role of "evaluator" and attached to an institution to have a personal space to manage their evaluations.

An evaluator does not see the proposals assigned to other evaluators nor their evaluations. Proposals assigned to evaluators can be anonymized at the managers' initiative.

Evaluation is the fourth hierarchical level of the platform.

Questions

To Candidates

Application managers can define a number of questions to ask candidates in the administration space to help evaluators select projects.

These questions will appear in the candidates' private space when submitting a project, and the answers will be viewable in the evaluators' private space.
